Keystone Advisors is an independent certified public accounting firm licensed in the State of Illinois.

Keystone provides Audit, Accounting, and Advisory Services in the areas of financial and administrative management, organizational and business improvement, program management support, budget support, financial analytical services and reconciliation, technology management and staff augmentation.

Keystone is looking for a Procurement Specialist to support one of our clients, a Non-For-Profit Health Care Provider in the Illinois Medical District. The organization is a teaching hospital that provides primary, specialty and tertiary healthcare services. The hospital has a staff of more than 300 attending physicians along with more than 400 medical residents and fellows.

The Procurement Specialist is responsible for creating computer, manual and EDI linked purchase orders for the acquisition of materials. Reconciling quantities required, requisitioned, received, and assists in forward planning activities for goods and services.  Researching, interviewing, and negotiating with suppliers to obtain prices and specifications.

Procurement Specialist Job Duties:

  • Preparing or editing computer, manual and EDI linked purchase orders for various departments.
  • Assisting in sourcing of vendors.
  • Placing orders with suppliers or vendors and ensuring that documentation is in order, with terms and conditions being clear.
  • Entering contracts in system.
  • Scanning and reviewing contracts.
  • Entering Receipt of Materials in system.
  • Matching invoices to purchase orders.
  • Reviewing and researching discrepancies.
  • Maintaining a filing system in the purchase department and updating appropriate records when required.
  • Interacting with suppliers in case of delay in delivery of supplies, receipt of damaged or incorrect quantity of goods.
  • Expediting purchased materials as required.
  • Verifying stock in the inventory to meet requirements.
  • Coordinating with Accounting department as required.
  • Other duties as assigned by Management.


Job Requirements


  • Required: 3 to 5 years of experience as a Procurement Specialist or Purchasing Specialist.
  • Bachelors Degree is a plus.
  • Procurement in Health care industry is a plus.
  • Knowledge of medical supplies and terminology is a plus.


  • Must have an extensive knowledge of Oracle and/or Lawsons Software Systems.
  • Must have Purchasing and EDI experience.
  • Must be proficient in MS Office Suite, including Advanced Knowledge of Excel and Access or other databases, and reporting tools.
  • Ability to multitask and prioritize work in a fast-paced environment.
  • Quickly learn and become competent in and effectively apply new skills.
  • Good organizational skills and detail oriented.
  • Be flexible with working long hours when needed.
  • Good inter-personal skills.
  • Problem-solving ability.
  • Excellent Verbal & Written Communication.
  • Attention to details and strong organization skills.
  • Ability to deal with suppliers and people internal to the company.
